Herka Route User Guide

From installation to your first optimized route.

Use this guide to connect service calendars, plan routes from CRM contacts or appointments, save frequent stops, monitor sync health, configure service destinations, and publish the customer routing widget.

1. Open Herka Route

After the app is installed, open the correct HighLevel sub-account and choose Herka Route from the left navigation. The embedded page establishes a secure session from the current HighLevel location.

2. Choose your dashboard style

Use Dashboard style at the top-right. Herka Brand is the default, with nine additional styles available. Your choice is remembered in that browser and does not change another user's CRM data or routing rules.

3. Configure Appointment Sync

Open Appointment Sync, enable two-way synchronization, and select only the calendars that contain field-service appointments. Examples include Service Appointments, Installations, and Maintenance. Avoid selecting unrelated sales or internal calendars.

Herka Route automatically reconciles selected calendars every five minutes when automatic sync is enabled. Use Sync Health to see the most recent successful sync, latest webhook, selected calendar count, and any error that needs attention.

4. Add your destinations

A destination is a service location or routing target. Add its name, redirect URL, business address, ZIP codes, service radius, priority, active status, and optional fallback status. Herka Route can route customers using ZIP assignments, location proximity, radius rules, priority, and fallback behavior.

Plan routes from CRM contacts or appointments

CRM Contacts

Choose the CRM Contacts tab, search for customers, and select the contacts you want to visit. Contacts without a usable street address are marked and cannot be routed until their address is corrected.

Appointments

Choose the Appointments tab, select a service date and optional calendar, then select the appointments for that route. Appointment routing uses the linked CRM contact's service address.

Starting and ending addresses

Start typing a business name or street address and choose an address suggestion when possible. Herka Route remembers the last successful starting address for the location. Leave Return to the starting address enabled for a round trip, or turn it off and enter a different ending address.

Saved Places

Save frequently used places such as your main office, warehouse, supply house, dump site, or equipment pickup location. A saved place can be used as the route start, route end, or added as a one-off stop with one click.

Custom stops

Use Add a custom stop for a place that is not part of the CRM. Give it an optional name and a valid address. Custom stops are used in the current route and are not automatically created as CRM contacts.

Build the route

Click Build Optimized Route. Herka Route returns estimated drive time, total distance, recommended stop order, and Google Maps navigation links. Large routes may be split into multiple Google Maps parts; open them in numerical order.

Route History

Recent optimized routes are kept automatically. Use Reopen Route to restore its starting point, ending point, selected CRM or appointment IDs, custom stops, and saved route result. You can open its existing Google Maps route immediately or rebuild it using current routing data.

Important appointment behavior

Route optimization changes the suggested driving order. It does not silently reschedule booked appointment times. Appointment times change only when a user intentionally edits and saves the appointment.

Appointment Management

Create and edit supported HighLevel appointments

From the appointment planner, use New Appointment or edit an existing appointment. Supported changes can include the linked CRM contact, title, status, calendar, start and end time, and notes. Saving intentionally writes the supported change back to HighLevel.

If appointments stop appearing, check Sync Health first. A green Connected state means the installation is active, service calendars are selected, and the most recent sync did not end in an error. Use Sync Now for an immediate reconciliation.

Customer Location Routing

Test routing before publishing it

Use Test location routing and enter a customer street address, business name, or ZIP code. Full addresses are validated before routing. If Herka Route cannot locate the address, it shows a clear message so the user can correct it instead of routing from bad data.

How destination matching works

  • Assigned ZIPs: explicitly map ZIP codes to destinations.
  • Proximity and service radius: use destination coordinates and configured service radius.
  • Priority: helps resolve eligible destination choices.
  • Fallback: provides a destination when normal matching does not produce an eligible location.

Website and funnel widget

Add the Herka Route Marketplace widget to a HighLevel website or funnel. The widget uses the location-specific Herka Route custom values created by the app, provides address suggestions when available, accepts ZIP-only searches, and redirects the visitor to the matched destination.

Before publishing, test at least one known in-area address, one ZIP-only search, an address near a service boundary, and an out-of-area address that should use your fallback behavior.

Troubleshooting

Common fixes

An appointment is missing

Confirm Appointment Sync is enabled, the appointment's calendar is selected, the service date is correct, and Sync Health does not show an error. Then use Sync Now.

An address cannot be found

Enter the full street number, street name, city, state, and ZIP when possible, and choose an autocomplete suggestion. ZIP-only input is supported in Test Location Routing and the customer-facing location router.

A CRM contact cannot be selected

Update the CRM contact with a complete service address, then reload/search the contact in Herka Route.

The wrong destination is selected

Review assigned ZIP codes, destination address, service radius, priority, fallback selection, and active status. Then retest the same customer address under Test Location Routing.
