From installation to your first saved scenario.
Connect your workspace, review the loan assumptions, and keep the right estimate with the right borrower.
1. Install and open the app
Use the installation link provided for your account. Choose the intended sub-account and authorize the requested permissions. Open that workspace and choose Herka Loan Scenario from its sidebar. This release requires a workspace administrator or agency owner.
Wait for CONNECTED in the borrower workspace. Each sub-account has its own installation, mappings, and saved scenarios.
2. Select a borrower
Search by name, email, or phone, then select the intended contact. Check the selected borrower before saving or sending results. You can leave No linked opportunity selected, or choose an existing opportunity belonging to that borrower.
3. Review your scenario inputs
Enter a scenario name, purchase or refinance purpose, loan program, property value, loan amount or purchase price and down payment, interest rate, and term. Enter annual property taxes and homeowners insurance, monthly HOA and mortgage insurance, and any applicable fees, credits, or cash already paid.
Review upfront fee assumptions and whether the fee is financed. Enter gross monthly income and monthly debts if you want debt-to-income estimates. Check the fee-review confirmation before calculating. Program labels do not automatically supply rates, fees, insurance amounts, or eligibility rules.
4. Calculate and save
Click Calculate scenario. Review the estimated monthly housing payment, loan amount, closing funds, ratios, and amortization details. Click Save current scenario to save the calculated inputs for the selected borrower.
Find it under Saved scenarios after refreshing and selecting the same borrower. Load the saved scenario to restore its inputs and calculation. Editing and saving creates a new record rather than overwriting the previous scenario. This pilot supports up to 500 saved scenarios per workspace; contact support if you reach that limit.
Start with defaults. Keep your own mappings.
After authorization, default setup creates and maps missing contact fields with the Herka Loan Scenario - prefix. The default set has 22 input definitions and nine output definitions. Slots already mapped to your existing contact fields do not need new defaults.
Look for Default fields are ready. If setup requests authorization, authorize the app's field-creation permission through its installation link, reopen the workspace, and choose Retry default field setup if shown.
Read from contact
Expand Workspace field mapping and check the input mappings. Set values on a test contact, select that contact in the app, and click Load mapped borrower values. Review all inputs and calculate again. Blank fields do not supply new values. Purpose accepts purchase or refinance; Program accepts Conventional, FHA, VA, or USDA.
Write to contact
Check the mappings under Write to contact. Calculate and save a scenario, then click Update mapped fields and confirm. Only mapped output fields with available values are sent. The monthly payment output is the total estimated housing payment, including the costs entered.
Review any existing CRM automations that respond to those field changes. Saving a mapping or a scenario does not itself update contact values. Existing custom mappings are preserved; you may change them or leave individual slots unmapped.
Adding a CRM note
Load or save the desired scenario, click Add CRM note, and confirm. Open the borrower's contact notes to check the summary. The app prevents a completed action for the same saved scenario from being sent again as a duplicate.
Compare and export options
- Calculate the first option and choose Add current estimate.
- Change the assumptions, calculate again, and add the next estimate.
- Compare up to three options, then choose Export scenarios to download a JSON file.
Comparison options stay in the current browser tab until you clear them, refresh the page, switch borrowers, or close the tab. Use Save current scenario separately for estimates you want to keep in the borrower's workspace. An exported JSON file may contain entered financial values; share and store it appropriately.
Troubleshooting
The embedded page refuses to connect
Reopen the installed sidebar link and try a full page refresh. Send support the browser error and the hostname of your CRM login page. A customized login domain may need to be allowed for embedding and workspace sign-in.
Connection or permission error
Confirm you are in the intended workspace with administrator access and that the app installation is active. Reauthorize requested permissions if needed. Support can help review the installation without receiving your passwords or authorization tokens.
Default fields could not finish
Keep any fields already created. Check whether the required permission was authorized, then retry setup. Conflicting names or types need review. If a request's outcome is uncertain, setup waits for the existing field to appear rather than blindly creating it again.
The save button is disabled
Select a borrower, review the inputs, and calculate the scenario first. CRM note and field-update actions require a saved scenario.
A CRM update has an uncertain result
Check the contact's notes or fields before trying anything again. Send support the scenario reference and the visible error so the completed action can be reconciled without creating duplicates.
Disconnecting and data requests
Uninstalling stops future authorized CRM access for that installation. It does not automatically erase Herka's saved scenarios, CRM custom fields, values, or notes already written.
Use our data request instructions to request review or deletion of Herka-side records. Manage CRM contact fields and notes in the connected CRM. Read the Privacy Policy for more detail.
